Booking Terms and Conditions

Our Contract and Status

  • Intermediary Role: We act only as a booking agent for the named suppliers (e.g., airlines, hotels, tour operators, car hire companies).

  • Separate Contracts: When you book with us, your contract is directly with the actual supplier.

  • Supplier Terms: The supplier’s own terms and conditions will apply to your booking. These may limit or exclude their liability to you.

  • Agreement Timing: A binding contract exists once we issue a booking confirmation receipt and the supplier accepts the booking.

Bookings and Lead Passenger

  • Authority: The “Lead Passenger” must be at least 18 years old.

  • Responsibility: The Lead Passenger guarantees they have the authority to accept these terms on behalf of all party members.

  • Accuracy: You must check all details on your confirmation invoice immediately. Contact us within 24 hours if any information is incorrect.

Payments, Deposits, and Fees

  • Deposits: To secure a booking, you must pay the non-refundable deposit requested at the time of booking.

  • Final Balance: The remaining balance must be paid by the due date stated on your invoice.

  • Cancellation Risk: Failure to pay the full balance on time will result in the supplier cancelling your booking, and cancellation fees will apply.

  • Service Fees: Our professional management and planning fees are entirely non-refundable.

Changes and Cancellations By You

  • Written Request: Any requests for changes or cancellations must be submitted in writing by the Lead Passenger.

  • Supplier Charges: Suppliers may charge up to 100% cancellation fees depending on how close the request is to the departure date.

  • Amendment Fees: In addition to supplier fees, we charge an administration fee of £100 per person for any amendments made after booking confirmation.

Changes and Cancellations By Suppliers

  • Supplier Rights: Suppliers reserve the right to alter or cancel flight schedules, itineraries, or accommodations.

  • Our Liability: We accept no liability for any changes, cancellations, delays, or losses caused directly by the supplier.

  • Alternative Options: If a supplier makes a significant change, we will pass on their available options (e.g., alternative dates or refunds) as soon as we receive them.

Financial Protection

  • Flight Packages: If your booking includes a flight and is sold as a package holiday, your financial protection is covered under the Civil Aviation Authority ATOL Scheme.

  • Other Arrangements: For non-package bookings, financial protection depends entirely on the individual supplier’s insolvency insurance policy.

Passports, Visas, and Health

  • Client Responsibility: You are solely responsible for checking and fulfilling all passport, visa, and health requirements. Any assistance required in this respect, will be subject to further charges.

  • Validity: Passports must be valid for at least 6 months beyond your intended return date for most international destinations.

  • Fines and Costs: We accept no liability if you are refused entry onto a flight or into a country due to incorrect documentation.

Travel Insurance

  • Mandatory Cover: It is a strict condition of booking that all travellers obtain adequate comprehensive travel insurance.

  • Coverage Requirements: Your policy should cover cancellation charges, medical expenses, emergency repatriation, luggage loss, and activity-specific risks.

Liability and Complaints

  • Limited Liability: Because we act only as an agent, our maximum financial liability to you is limited to the total value of our commission/service fee for that booking.

  • Complaint Process: If you experience a problem during your trip, you must inform contact me immediately.

Escalation

If the issue is not resolved, you must notify us in writing within 28 days of your return
